Privacy Policy
How GigWave collects, uses and protects personal information.
Last updated 31 October 2026. This policy explains how GigWave collects, uses and protects personal information, in line with the Australian Privacy Principles.
Who we are
GigWave (“we”, “us”) runs gigwave.com.au, a website for finding and booking live musicians and for music lessons in Australia. You can contact us about privacy at info@gigwave.com.au.
What we collect
- Contact details — your name, email address and, if you give it, phone number.
- Event and venue details — date, times, suburb and state, event type, budget, venue name and the notes you add to a request.
- Messages between hirers, artists and us sent through the website, and messages sent through our contact and lesson forms.
- Account details if you create an account, including your login email and a securely hashed password.
- Artist profile details — act name, location, styles, biography, photos, video links and pricing that artists supply for their public profile, plus contact details we keep private.
- Payment records — amounts, dates and payment references. Card details are collected and stored by Stripe, our payment provider, not by us.
- Technical information — your IP address is used briefly to block spam and repeated form submissions, and our hosting provider keeps standard server logs.
How we use it
- To send your request to the artists you choose, and to manage quotes, bookings, payments and cancellations.
- To reply to your enquiries and send emails about your request, booking or lesson.
- To review artist applications and publish approved profiles.
- To keep the website secure, prevent fraud and spam, and meet our legal and accounting obligations.
We don’t sell your personal information, and we don’t send marketing emails unless you’ve asked to receive them.
Who we share it with
- Artists you contact see your name, event details and messages. Your email address and phone number are shared with an artist only once a booking with them is confirmed.
- Hirers see an artist’s public profile and the messages they exchange with that artist.
- Service providers who help us run GigWave, such as our website host, email delivery and Stripe for payments. They may only use the information to provide their service to us.
- Authorities where the law requires it.
Some providers, including Stripe, may process information outside Australia. We take reasonable steps to make sure they handle it in line with the Australian Privacy Principles.
Cookies and embedded content
We use only the cookies needed to run the website, such as keeping you signed in. We don’t use advertising or analytics cookies. Artist videos are hosted on YouTube or Vimeo. Preview images load from those services, and the video itself only loads when you press play. At that point the provider’s own privacy policy applies.
How long we keep it
We keep request, booking and payment records for as long as we need them to provide the service and to meet legal requirements. For example, Australian tax law generally requires financial records to be kept for five years. Information we no longer need is deleted or de-identified.
Keeping it secure
The website uses encrypted connections (HTTPS). Request pages are protected by private links, and access to our systems is limited to people who need it. No method of transmission or storage is completely secure, but we take reasonable steps to protect your information.
Access, correction and complaints
You can ask to see or correct the personal information we hold about you, or ask us to delete it where we’re not required to keep it, by emailing info@gigwave.com.au. If you have a privacy complaint, email us first and we’ll respond. If you’re not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
We may update this policy as GigWave grows. The date at the top shows when it last changed.
